Monash University Tennis Club

Purpose and Scope

This Membership Policy governs the conduct, responsibilities, and expectations of all paid Monash University Tennis Club (MUTC) members.

This Policy applies whenever a MUTC member is acting in their official capacity or representing the Club, including at events, competitions, digital platforms, and while using the tennis courts.

1. Conduct & Club Values

As a member of Monash University Tennis Club, you commit to uphold the core values of: fairness, integrity, honesty, mutual respect, and ethical conduct in all club-related activities.

Members must:

• Treat all other members and participants with respect and courtesy, valuing diversity and inclusion, and avoiding harassment, discrimination or vilification.
  
  

• Behave responsibly and ethically, acting in a way that does not disrupt club activities, damage university or club property, or endanger the safety or wellbeing of others.
  
  

• Comply with any reasonable and lawful directions from club convenors, coaches or Monash staff during events, hit sessions and club activities.
  
  

• Use club facilities, equipment and resources responsibly, for their intended purpose, respecting the privacy and security of others.
  
  

Breaches of this policy, including disrespectful, unsafe or dishonest behaviour may result in loss of membership, suspension, or further disciplinary action proportionate to the breach.

2. Membership & Participation

• Membership is open to both Monash students and those from the wider community, who register with MUTC and pay any relevant membership fees.
  
  

• Members will be able to participate in club events, training, hit sessions, and must abide by club rules and this policy when doing so.
  
  

3. Refund Policy (Events)

• For paid club events, members may request a refund if they provide at least 24 hours’ notice before the start of the event.
  
  

• No refunds will be issued for cancellations by the member within 24 hours of the event start time.
  
  

• The only exception is if the event is cancelled by the club due to rain or other unforeseen circumstances in which case members will be refunded in full.
  
  

4. Liability & Risk Acknowledgement

• Members acknowledge that participation in tennis activities involves inherent risk, including risk of injury, and accept these risks upon joining and participating in club events or hit sessions.
  
  

• Neither MUTC nor Monash Sport accepts liability for any injury, loss or damage sustained by members during club events, training or hit sessions.
  
  

• Members are encouraged to ensure they have appropriate personal insurance (e.g. health insurance) and to act responsibly to minimise risk (e.g. warm-up, follow instructions, use equipment properly).
  
  

5.  External Competitions (WDTA & Pennant)

• Players must participate in a minimum of three scheduled matches, in the course of one season.

• Players must play a minimum of three matches to be eligible to play in the finals

• If a player does not meet match participation requirements, they will be liable for all associated fees.
  

• The club will not cover any costs for players who fail to meet required participation levels.
  

• Future selection for external competition teams may be restricted if a player fails to meet the minimum requirements.
  
  

6. Coaching Policy

• Coaching is not permitted on Monash tennis courts unless expressly authorised by Monash Sport.
  
  

• Any member found coaching (paid) will have their membership suspended.
  
  

7. Membership Acceptance

By registering as a member of MUTC and participating in club activities, you confirm that you have read, understood, and agree to abide by this Membership Policy and the standards of conduct outlined above.
